Compliance Assistant wanted in London HQ

Firefish are looking for a Compliance Assistant to support both the Head of Legal and Privacy and Information Security Manager across our group of businesses. The role will be based in our London HQ in Tower Bridge Road, with hybrid working offered to create a blend of working from home and in the office. This is a Fixed Term contract, offered on a Temporary to Permanent basis.

What will you be doing?

This role will offer administrative support for the management of both commercial contracts and implementation of data privacy legislation, and Information Security operations and compliance.  You will undertake key responsibilities within each area. These include:


  • Assist in management of legal contract tracking documents
  • Be the point of contact for the Group on client contract status
  • Attend weekly legal status meetings and maintain minutes/status document
  • Responsible for roll out of new contract templates (Supplier T&Cs, Business T&Cs, Data Protection Agreements, NDAs, Contractor agreements etc) once agreed by Group
  • Assists in roll out of contract downloads to teams and follows up with teams on actions they need to implement

Information Security Management

  • Keeps register of all suppliers across the Group
  • Ensure suppliers are signed up according to our ISO27001 requirements
  • Assists in annual review and regular maintenance of Supplier and third-party security risk assessments
  • Supports Information Security Manager as required when client contract negotiations involve procurement portals and where client security risk assessments are required as part of contract negotiations
  • Support Information Security Manager in the compliance management, best practice design and process implementation of new platforms/software – e.g. Google Workspace (formerly G Suite), Zoom

General Responsibilities

  • Assist in drafting of training materials for the Group re Legal, Privacy and Security matters
  • Manages diaries and information sharing where needed between Head of Legal and Privacy, Information Security Manager, external DPO, external legal
  • Links in with businesses in the Group to be aware of any new software platforms/third party providers being considered to ensure that the Security team manage the appropriate security review and change processes and ensure Head of Legal and Privacy/DPO have been consulted on appropriate data privacy elements
  • Responsible for ensuring Group policies/procedures are held in a centralised place where all businesses can access, are updated annually by the respective policy owners and held on the correct Group template

This job is for you if you are…

  • Are a confident and experienced administrator, familiar dealing with documents which have technical terminology and language
  • A self-starter who prides themselves on their super organisational skills
  • Confident liaising with different stakeholders across different teams
  • Experienced in prioritising your workload according to the needs of the business
  • Have good knowledge of Microsoft Office packages
  • You don’t need to have had a background in legal or IT compliance. But you do need a willingness to learn, undertake training where required and have a positive can-do attitude.
